Introduction
Lovisa is a retail company headquartered in Australia. In Warsaw, the company established its main IT hub for Europe and was looking for a recruitment partner to help expand its new IT Support Center. Initially, we started our collaboration on a Success Fee basis. However, over time, it became evident that the number of IT vacancies was substantial and highly urgent, leading Lovisa to engage Team Up in an RPO (Recruitment Process Outsourcing) model, while still maintaining a Success Fee cooperation.
Challenges
Since August 2023, we have been working with Lovisa under the RPO model.
- As this was Lovisa’s first experience with RPO, our task was to define the framework for this collaboration to ensure optimal results.
- At that time, Lovisa was in the process of implementing a new ATS (Applicant Tracking System).
- Regarding IT recruitment, the company primarily relied on job postings, which were not yielding satisfactory results.
- There was no IT recruiter in the Warsaw hub with the experience required to closely collaborate with Hiring Managers and accurately understand technical requirements.
- Additionally, during our collaboration, Lovisa decided to transition back to a fully onsite work model, which reduced candidate interest in their job offers.
Our Solutions
When entering an RPO partnership with Lovisa, we knew that our role would extend beyond recruitment – we also had to support our client with daily operational challenges. Here’s how we helped Lovisa during the first six months of our collaboration:
- We developed a customized onboarding and reporting process tailored to the client’s needs.
- We created unique UVPs (Unique Value Propositions) for Lovisa’s IT center in Poland.
- Before the implementation of the new ATS, we proposed an alternative solution and an additional tool to manage candidate pipelines more effectively. We then supported the testing phase of the new ATS and helped establish processes within the system.
- We designed a structured format for screening call notes, ensuring clarity for Hiring Managers and aiding in candidate selection.
- Our reports provided transparent insights into the challenges we faced, along with proposed solutions. Our goal was to educate and raise awareness among the client about the realities and expectations of the Polish IT job market.
Results
During our six-month collaboration, we successfully filled 7 out of 13 positions (with 2 roles being canceled). Since some recruitment processes were still ongoing, Lovisa decided to extend our cooperation for another three months. In this period, we continue working on IT vacancies while also supporting the client in broader recruitment-related challenges.
