Lovisa is a retail company headquartered in Australia. In Warsaw, they established their main IT hub for Europe and were looking for a recruitment partner to help grow their new IT Support Center. We initially began working together on a Success Fee basis. However, after some time it became clear that the number of IT vacancies was both high and urgent, so Lovisa decided to partner with Team Up in an RPO model – without excluding continued cooperation under Success Fee as well.
Challenges: implementing RPO and recruiting IT talent for the technical support center
Since August 2023, we have been working with Lovisa under the RPO model.
- Because this was Lovisa’s first RPO partnership, our task was also to create the operational framework needed to ensure the cooperation delivered the best possible results.
- At that time, Lovisa was in the process of implementing a new ATS.
- When it came to IT recruitment, the company relied mainly on job postings – which was not effective enough to bring satisfactory results.
- There was no recruiter in the Warsaw hub with experience in IT hiring who could closely collaborate with Hiring Managers and properly understand the technical requirements.
- Additionally, during our cooperation, the company decided to reintroduce a full-onsite work model, which meant fewer candidates were interested in their roles.
Which positions did we recruit for?
Cyber Security, Shopify Dev, Lead Developer, Application Support
Our solutions: implementing RPO and providing operational support in IT recruitment
Entering the RPO partnership with Lovisa, we knew our role would go beyond recruitment – we would also need to support the client in handling day-to-day operational challenges. Here’s how we were able to support Lovisa during the first 6 months of our collaboration:
- we created a personalized onboarding and reporting process tailored to the client’s needs;
- we developed the UVPs for Lovisa’s IT center in Poland;
- before the new ATS was implemented, we proposed our own solution and an additional tool to support candidate pipeline management. Later, we assisted in testing the new ATS and defining its processes;
- we established a clear, structured format for notes after candidate screen calls, ensuring they were understandable for Hiring Managers and useful for candidate evaluation;
- in our reports, we transparently informed Hiring Managers about the challenges we were facing and proposed concrete solutions — our goal was to raise awareness and educate the client about the realities and expectations of the Polish IT market.
Results: successful RPO implementation and effective IT recruitment
During the 6-month collaboration, we successfully closed 7 out of 13 projects (with 2 later cancelled). Since several roles were still in progress, Lovisa decided to extend our partnership for an additional 3 months. During this period, we continue working on IT vacancies while supporting the client with all recruitment-related operational challenges.
